Terms of Service

1. Acceptance and authorized use

These Terms of Service govern access to and use of CaseHub. By accessing CaseHub, you confirm that you are an authorized user acting for an organization permitted to use the service and that you agree to these terms. If you are not authorized or do not agree, you must not use CaseHub.

2. Service description

CaseHub supports immigration case management, operational records, checks, alerts, and connected-mailbox monitoring. Features and availability may change as the service is maintained, secured, or improved.

3. Accounts and security

Users must provide accurate account information, protect their credentials, use only their assigned account, and notify the service administrator promptly of suspected compromise. Access is role-based and may be suspended or terminated to protect CaseHub, its users, or the information it holds.

4. Client information and authority

Users and their organization are responsible for the accuracy and lawful handling of information entered into CaseHub. They must have appropriate authority, consent, and a lawful basis to process client information and to connect or monitor any mailbox. A mailbox must be associated only with the correct client context.

5. Gmail integration

The Gmail integration is limited to authorized, read-only mailbox monitoring. CaseHub processes message metadata and short snippets to identify relevant case communications. It does not intentionally retrieve full email bodies, raw MIME content, or attachment contents, and it does not provide Gmail sending, replying, drafting, deleting, archiving, labelling, starring, or read-state modification.

Users must connect only mailboxes they are authorized to access and must follow the available lifecycle controls for reconnection, replacement, revocation, hand-over, and closure.

6. Prohibited conduct

You must not:

• access CaseHub or any mailbox without authorization;
• circumvent role permissions, security controls, audit records, or lifecycle restrictions;
• upload malicious content or interfere with service operation;
• use CaseHub for unlawful, deceptive, abusive, or unrelated surveillance purposes; or
• attempt to obtain credentials, tokens, secrets, or information outside your permitted scope.

7. Availability and changes

We aim to keep CaseHub available and reliable, but uninterrupted or error-free operation is not guaranteed. Access may be limited for maintenance, security, legal, or operational reasons. Features may be changed or withdrawn with reasonable notice where practical.

8. Intellectual property

CaseHub, its software, design, and service materials are protected by applicable intellectual property laws. These terms grant authorized users a limited, revocable, non-transferable right to use CaseHub for approved organizational purposes. They do not transfer ownership of CaseHub or its underlying technology.

9. Third-party services

CaseHub may rely on third-party services, including Google APIs, hosting, and security providers. Those services may be governed by separate terms and privacy policies. CaseHub is not responsible for third-party services outside its reasonable control.

10. Privacy and confidentiality

Personal information is handled as described in the Privacy Policy. Users must preserve the confidentiality of client, account, case, and mailbox information and disclose it only where authorized.

11. Suspension and termination

Access may be suspended or terminated where a user is no longer authorized, breaches these terms, creates a security or legal risk, or where continued access is no longer operationally appropriate. Mailbox lifecycle actions may preserve historical metadata and audit records where required.

12. No professional advice

CaseHub is an operational case-management tool. It does not provide legal or immigration advice, determine application outcomes, or replace professional judgment. Users remain responsible for reviewing source records, meeting deadlines, and making casework decisions.

13. Disclaimers and liability

To the extent permitted by law, CaseHub is provided on an "as available" basis. We do not guarantee that alerts, classifications, integrations, or imported metadata will identify every relevant communication. Liability is limited to the extent permitted by applicable law, and nothing in these terms excludes liability that cannot lawfully be excluded.

14. Changes to these terms

We may update these terms when the service, legal requirements, or operational practices change. Continued use after an updated version becomes effective constitutes acceptance where permitted by law. The date at the top identifies the latest version.
